Parents Visiting
Schools are asked to ensure that any parents staying for the tournament will have their own valid WWCC card.
Visiting Schools
Visiting schools are asked to arrive at 9.15 am (after the morning rush) and we will conclude presentations by 2 pm. Our Event Team arrives between 8:00 am and 8:30 am to set up and departs by 2:15 pm.
Lunch
There may be a short lunch break scheduled after the 5th game concludes, but generally we find that long recess and lunch breaks are unnecessary. Players provide their own lunch and snacks and have plenty of time to eat and drink and stretch their legs during the day while waiting for the last game to finish each round.
What about Regional Areas?
We are very active in Regional areas of Victoria, Tasmania and WA.
Generally a minimum participation of 3 schools (around 40 players) is enough for a viable tournament.
If you believe that this is achievable in your area we’ll schedule the event and work together to get the required numbers!
Please note that most of our Tasmanian and Western Australian tournaments have both Primary and Secondary Divisions at the same venue on the same day. This is also the case for most of our tournaments in Regional Victoria. In Greater Melbourne, Primary and Secondary events are generally held separately.

It is possible that there are sufficient events in your area and it will not be possible to host this year. However, if minimum participation levels can be reached we are happy to continue to accept additional hosts. If we cannot accommodate your request this year, we will put you on a hosting roster for future years.
- Suitable tables and chairs for playing chess: generally a 150 cm x 75 cm trestle table or classroom desk would fit 4 players. A 180 cm trestle can accommodate 4 players in great comfort and 6 players if necessary. Single (exam-style) tables can also work well.
- We generally ask that up to 100 players can be accommodated although a more accurate estimate will be provided 1-2 days prior to the event. Average attendance at events is 75 players.
- We do require that furniture is setup prior to our arrival.

- One supervisor for your own students
- Access to boys, girls and staff toilets
- Easy access to power (for our laptop & printer)
- Tea/coffee facilities for visiting adults
- Two student leaders to assist our staff on the day with marshaling and results collection
Hosts are encouraged to:
- Have student leaders welcome teams as they arrive
- Establish the sign-in requirements for visiting schools
- Have some outdoor space that the players can use between games
- Contact your local media
- Consider whether a large screen might be available. Please note that a large screen is nice but not essential - the length of the pairing lists means that we rarely dispense completely with traditional printer and blu-tack!
We provide:
- All chess equipment to run the event (prizes, clocks, sets, boards, etc)
- Arbiters and tournament managers to run the event
- Advertising, promotions and management of entries
- Computer and printer
- Excellent web-based tournament management software, enabling teachers/parents to follow results live (Tornelo)
- Qualification to the next level of participation (State / National finals)
